Board of Directors Meeting
April 02, 2004
Board Members Present: Sam Alfano, Al Turnbull, Doug Winter, Merlyn Cummings, Al Cavaletto, Phebe Mansur, Laura Funkhauser, Thom Myall, Jim Downing, Ken Knight and guests Janet Gripp, Lorrie and Brad Roper
1. Call to order - Sam
1.1. Sam called the meeting to order at 7:05 am at the Pacifica Suites
1.2. Sam introduced guests Lorrie and Brad Roper
2. Secretary’s Report - Doug
2.1. There were no questions or corrections and the minutes were approved as written by the Board
3. Executive Board Report – Sam
3.1. GVB continues to search for one more member of the Board
3.2. GVB has been requested to comment on our position on some of the new subdivisions being proposed for the Goleta Valley. GVB does not take a position on land use decisions by policy choice. We have chosen to be a neutral agency so we can be viewed as non-partisan. GVB can comment on the landscape aspects of each subdivision.
3.3.GVB is interested in working with the Welcoming Committee. We would like for them to give new residents a GVB flyer as part of their introduction to the area.
3.4. The workshop on “How to Plant Trees” was very successful.
4. Treasury Report –Ken for Tami
4.1.The budget status was distributed to all Board members prior to this meeting
4.2. Ken opened a discussion of whether we should publish an annual budget position, each month, rather than a monthly budget position. Ken recommended that the Treasure report on our position against the annual budget on a monthly basis. The Board concurred
4.3. Income report
4.3.1. Ken reported that GVB is about $4,000 behind in revenue with respect to the annual budget current position. This due primarily to a reduction in anticipated grants and contracts. Venoco was planned for a $4,000 grant which has not materialized to date. Wells Fargo was planned for a $10,000 grant. GVB has received $5,000. On the positive side, GVB expected $2,000 from the National Tree Trust; GVB received $10,000, some of which must be spent in the next fiscal year. Membership receipts are lagging by about $1,000
4.3.2. GVB has received the California Releaf Capacity Grant for $7,500, most of which must be spent in the next fiscal year
4.4. Expense Report
4.4.1. GVB is spending considerably less than planned because the $25,000 contract with the City, scheduled to be underway three months ago, has not commenced as of yet. This contract reimburses expenses as they accrue
4.5. GVB received a $500 endowment from Cecilia Brown
5. Membership – Ken for Kathy
5.1. Ken reported that GVB currently has 341 donor members against a goal of 350 donor members
5.2. An email has been sent to about 50 members, who have not elected to renew their membership fees, that they are transferred to a nondonor status. These members have been contacted 3 to 4 times without success
5.3. Ken reported that recent member receipts have been considerably lower than members renewing during the turn of the year. Overall revenue from renewed memberships is up considerable yet is about $1,000 short in terms of budgeted revenue. Due to the hard work of the Membership Committee, GVB has received about $14,000 in membership fees. Membership is our main source of revenue. Hopefully, next year we can achieve a goal of 500 donor members
6. Business Committee – Janet
6.1.The April awardee is Mission Sales & Leasing on Hollister Ave. The May awardee has not been identified
6.2. Ken asked Janet and Ross to take the lead in developing a presentation board for the Banquet. They need more volunteers to help complete it
7. Neighborhood Committee – Ken for Ross
7.1. Ross selected the home of Rico and Marcie Casillas at 166 Vega Dr. for the March award
7.2. Ross has not settled on the April winner from a field of several candidates.
8. Education Committee – Ken for Al
8.1. The garden project in Isla Vista is proceeding well
8.2. La Patera school does not have a project
8.3. Ken to take a look at potential National Arbor Day projects
9. Government Committee – Sam
9.1. Someone is needed to chair the committee. Proceedings at the Design Review Board, City Council and County Board of Supervisors need representation from GVB
9.2. The Advisory Council recommends early liaison with the developers for commercial and residential projects in the valley
10. Website Status – Thom- Thom is looking for a web provider that provides more flexibility. It is expected that this will come at a higher cost for the increased capability. We are getting about a 100 hits per month
11. Urban Forestry Committee - Thom- Heritage Tree Tour on June 27th. The flyer development is in work. Norm Beard has been contacted for a tour of his exotic nursery, California Rare Fruit Growers. The tour will cover more of the orchards than in previous years. Air Bus will again provide a free bus for the tour. Wells Fargo Signs. Sam is discussing a new brochure for the signs with Eric Kronval. Doug and Thom installed refurbished sign #18 at the corner of Old San Marcos Rd and Cathedral Oaks. This sign had been vandalized. Tree planting projects will be primarily at Devereux for the next month. Girsh Park management has agreed to allow GVB to plant honor trees at the park. Honor trees, planted adjacent to Cathedral Oaks Rd. near the Glen Annie Golf Course, are having problems developing roots due to the root guards which were installed. These root guards must now be removed at great difficulty. Due to poor root development, the trees may need to be watered for more year
12. Executive Directors Report - Ken Two storage sheds have been donated to GVB. These sheds will provide the capacity which will allow GVB to return the Marborg container. Doug is installing hardware on the sheds to provide security. Six, long, heavy tables will be stored temporarily outside until they can be donated to a charity. The Cambridge Drive Baptist Community Church has requested help from GVB in implementing their trash pick up project. Ken has suggested that they work South Patterson Ave. and the West end of the main runway of the airport
Camino Real Market Place has a back hoe / trencher that they are willing to provide to GVB. This would be very useful in tree planting. We need a trailer and an operator to bring this project to fruitation. The City has promised to have letters for the homeowners affected by the Prop 12 tree planting. These letters have not been sent. Phebe has developed a door hanger which we could circulate in place of the letters
13. Fundraising - Ken GVB received the Wells Fargo Foundation Grant for $5,000. California Releaf Grant was received for next year. GVB has asked Venoco for a $4,000 grant. GVB has applied for a Mosher Grant which includes 3 different education projects. One of the projects involves the Devereux Foundation and the use of Growing Solution’s green house to grow native trees over a 3 year period. The second project involves a Neighborhood Forester Program. This program teaches how to become neighborhood leaders to teach other people how to care for trees. GVB is asking Home Depot, at the national level, for tools and equipment. The Towbes Grant is due before the of April. The Outhwaite Foundation Grant request is due before the end of April. This grant involves data collection and research in connection with the renovation of the Stowe House grounds
14. Awards Banquet – Sam. The banquet will be held on May 15th at the Holiday Inn from 6:00 pm to 8:30 pm. About 120 people are expected. GVB is working with the Holiday Inn on details. A banquet flyer is in development. Seven gifts have been promised to date for the silent auction. Volunteers are needed to call businesses to request gifts. A letter has been sent to about 150 businesses requesting gifts for the silent auction. Laura said that Washington Mutual wants to donate to the silent auction. Laura suggested that they buy a Costco gift basket and include their literature within it. Washington Mutual was agreeable to the idea

June 22 El Encanto Heights Beautification Project Public Meeting -7:00 PM Meet at the cul de sac next to the Mobil Station at the corner of Glenn Annie and Calle Real. GVB representatives will review proposals for the maintenance and planting of the .03 mile planting strip on the south (ocean) side of Calle Real between Colusa and Daffodil, and walk the site. 3. 3rd Annual Goleta Valley Heritage Tree and Nursery Tour- Sunday, June 27 10:30 to 5 PM
Noted local tree experts Professor Jerry Sortomme and Arborist Dan Condon will be leading a tour of Goleta Valley's Heritage tree locations in a comfortable Santa Barbara Airbus. Dan delayed returning to Michigan so he could be with us for the tour one last time. Call 252-1952 if you want make reservations using Visa or MasterCard. In addition to some old favorites such as a behind the scenes tour of the San Marcos Nursery with Randy Baldwin, we're also heading for some new sites. We'll be visiting a working lemon and avocado orchard. We'll also spend some time with the former President of the California Rare Fruit Growers Association as he shows us some of the rare and unusual plants he grows in our area!. We'll have a no-host lunch at the Sizzler Restaurant around the Witness Tree, the oldest sycamore in Goleta and the only Goleta Valley tree registered as a historic landmark.

6. GVB News Tidbits
Turnpike Area Tree Planting Preparation - Dos Pueblos student Rachel Cohen continued to assist GVB in May by interviewing residents in the Turnpike/Hollister subdivision.
GVB is seeking support from adjacent property owners to help water trees to be planted in their parkways in July. Eagle Scout Candidate Rich McCollum and his adviser Jim Bartlett are preparing the sites to allow for the July 9 planting,
Santa Barbara Shores Tree Planting Preparation - Volunteer Rachel Cohen is also surveying residents on Coronado and Santa Barbara Shores for tree species preferences. Later this summer GVB will initiate the first of a series of street tree plantings in the City of Goleta with the help of Proposition 12 funding.
GVB Board Member Changes- Board members retiring from service include Ross Harris, Jim Downing, and Dan Condon, as well as Business Committee Chair Janet Gripp. We're losing an incredible amount of talented people who gave generously of their time. fortunately we have several new members coming on Board including Marc Bradley and Lori Roper, as well as Bonnie Freeman will be assuming responsibility in chairing one of the committees writing our monthly awards.
GVB Grant Awards - GVB received 2 grant awards in May
Shoreline Preservation Fund Grant - GVB received a $500 grant from the UCSB Shoreline Preservation Fund to develop a database of street and park public tree planting locations. A student intern will help develop the precise information needed to solicit additional grant funds to support public tree plantings in the Isla Vista area, particularly the residential portions. Work will occur over the summer.
Venoco, Inc. - GVB received a $1,000 grant from the Venoco, Inc. Foundation to assist in purchasing a trailer for use with our existing one ton truck
GVB Products and Services - GVB provides (free to GVB members) young native oak trees, National Arbor Day Foundation Tree City USA Bulletins(43 bulletins), "Treechie" the Teaching Tree Coloring Book(English and Spanish), and consultation from a Certified Arborist on your tree care issues. We also have a Speakers Bureau available to speak to local clubs and organizations, and an Educational Program for local schools that includes both classroom and field classes. We also have an active community service program where we can structure projects to meet your interests and abilities. GVB has a one ton truck with a 12' cab that we can make available to Goleta Valley 501 c 3 non-profit agencies when not in use by GVB or our partner Growing Solutions. The truck is available for day use with our driver at no charge.
Tree Planting/Maintenance Requests - We're currently working on requests on Windsor Road and Bristol Place. In the City of Goleta, send your requests to the Community Development Department, 6500 Hollister Ave Suite 120, Goleta CA 93117. In the unincorporated areas of the County, contact either the County Parks Department at 610 Mission Canyon Rd., SB 93105-2911 for trees in public parks or the Public Works Department at 123 East Anapamu St., SB 93101 for trees in the public right of way. You can mention that you would like to work with GVB in planting trees in public areas.

- Neighborhood Cleanup - Judy Nason and her Cambridge Drive Community Church volunteers on May 2 cleaned up South Patterson Avenue from Hollister South to past the bridge, and the usual Cathedral Oaks from Santa Margarita to Los Caneros in 6 volunteer man hours and collected about 7 Orange Rubbish bags. they were at it again on May 17 when they collected 4 orange trash bags full in 9 volunteer hours.
8. Water Kings and Queens. -
We delivered and installed Treegators (portable tree irrigators) in May. If you have had new trees planted by GVB in the past year and a half and your tree is not watered by an irrigation system, call us at 252-1952 and we deliver a Treegator to you. Please begin filling it immediately and refill it once a week.
NOTE: Treegators should be place on a short bed of mulch (no mulch touching the tree trunk) to avoid the holes on the bag from clogging up. If your Treegator stays erect for more than ten hours, or if the Treegator empties almost immediately due to an oversized hole, contact us at 252-1952
If you don't have a Treegator, you may need to create a temporary soil watering berm one to two feet away from the trunk and encircling your tree, and deep water your tree with a slow trickling hose.

Ongoing Interviewers needed to make phone calls and follow-up in person visits if necessary to determine the interest of residents in the planting and care of public parkway street trees adjacent to their property. San Marcos Growers is a wholesale plant nursery located in the eastern Goleta Valley. 5. GVB News Tidbits
- El Encanto Heights Beautification Project - About 30 supporters showed up on June 22 for a public explanation and site review of the El Encanto Heights Beautification Project, including Councilmember Margaret Connell. The project involves large-scale dryland landscaping of the 20 ' wide southern portion of Calle Real (next to Highway 101) between Colusa and Daffodil. The area does not have a water meter, so any landscaping installed must be watered by truck during its establishment period, and then be able to survive without supplemental water. The types of trees and shrubs chosen were therefore native tree and shrubs (Oak, sycamore, toyon, redbud), or non-native, non-invasive trees and shrubs that can survive in our climate. As a result of the meeting, we are increasing the number of proposed trees to be planted to approximately 40 and from a different funding source than the City of Goleta's $2500 Community Project grant to initiate this project. This will allow us to plant 35 shrubs, more than originally anticipated. We also have to reserve funds for a water truck to water the plants in the summertime for the first two years.Now that we have a core of volunteers willing to help with the initial maintenance of this area, we will proceed with final design and implementation. The flags on the site denote where the trees (green) and shrubs (yellow) will be planted. If the area is mowed (we hope soon) and the flags are removed, we've marked the adjacent pavement with green and yellow dots. The paint is washable to allow us to move sites if needed. Underground service alert checked the area, and we have no conflicts with underground utilities.
Nest action points are to create a final design plan for presentation to the City's Design Review Board on their August 17 meeting, coordinate logistical details with City staff, prepare the site on September 18 (Day of Caring) and plant on October 16 or later if the early rains don't occur. -GVB Mid-summer Hiatus - GVB activities will slow down in late July/early August as Executive Director Ken Knight takes a vacation. On August 10, Ken will deliver a presentation at the Annual Conference of the International Society of Arboriculture in Pittsburgh PA. The title of the presentation is "Tahitian Snow - How can arborists talk to accountants about trees as capital assets?"
-Santa Barbara Shores/Coronado Tree Planting Preparation - We need to do more neighborhood surveys before we can proceed with tree planting in this area. Later this summer GVB will initiate the first of a series of street tree plantings in the City of Goleta with the help of Proposition 12 funding.
-GVB Grant Awards - GVB received 1 grant award in June
- - We can't formally announce the grant until we have approval from the home office, but a major national retailer provided a $25,000 grant to GVB to grow native trees with the help of Growing Solutions Restoration Institute and the Devereux foundation. More details to follow next month.
- -In the unsuccessful category, we were again turned down by the Towbes Foundation for an urban forester educational program, and the National Urban and Community Forestry Advisory Council did not rank our application high enough for funding research into incorporating trees as capital assets as part of the City of Goleta's General Planning process.

--Turnpike Area Tree Planting Preparation - Eagle Scout Candidate Rich McCollum, his adviser Jim Bartlett, and over 20 volunteers spent three weekends in June installing 900 feet of root shields in preparation for the July 9 tree planting in the Turnpike/Hollister area. This was the most ambitious and well planned Eagle project we have ever been involved in. Hats off to rich for a stellar job.

- - Neighborhood Cleanup - Judy Nason and her Cambridge Drive Community Church volunteers cleaned up their usual areas on June 5 and they were at it again on June 26 when they collected 3 orange trash bags full in 6 volunteer hours along Los Carneros Road from Glen Annie to Los Carneros. Judy is having difficulty arranging for a trash disposal location to accept all the trash they are collecting. Anyone having available trash disposal space contact Judy at 964-0436.
- - 3rd Annual Goleta Valley Heritage Tree and Nursery Tour - Tree Tour Coordinator Thom Myall reports that 28 people attending this year's tour and that GVB raised approximately $800 for this fundraiser/educational tour. Dan Condon and Jerry Sortommee were a brilliant tag team of information and anecdotes about the nature of our trees. Thanks to our sponsor Santa Barbara AirBus, to the GVB members who supported scholarships for students, and to all of our hosts along the way, including Norm Beard, Randy Baldwin, Urban McLellan, and Stan Giorgi. Please refill your portable tree irrigators (Treegators) once a week. Treegator instructions can be found at www.treegator.com If you have had new trees planted by GVB in the past year and a half and your tree is not watered by an irrigation system, call us at 252-1952 and we deliver a Treegator to you.
NOTE: Treegators should be place on a short bed of mulch (no mulch touching the tree trunk) to avoid the holes on the bag from clogging up. If your Treegator stays full for more than ten hours, or if the Treegator empties almost immediately due to an oversized hole, contact us at 252-1952
If you don't have a Treegator, you may need to create a temporary soil watering berm one to two feet away from the trunk and encircling your tree, and deep water your tree with a slow trickling hose.

-Cathedral Oaks trees - You may have noticed that Brisbane Box trees along Cathedral Oaks Road from Glen Annie to King Daniel are particularly drought stressed. the trees on the south side are holding up well as expected after several years in the ground. However the trees on the northside next to the Glen Annie Golf Course are sitting in hardpan soil that has not allowed the trees root system to develop adequately. We are working with the Goleta Lions Club to seeking short and long term solutions to this problem.

- Neighborhood Cleanup - Judy Nason and her Cambridge Drive Community Church volunteers are continuing their anti-litter campaign along our roadsides. On July 10 they spent 4 volunteer hours along Los Carneros Road from El Collegio to Hollister collected 3 trash bags of litter. . On July 24 they collected 4 trash bags full in 8 volunteer hours along Cathedral Oaks from Patterson to Kellogg and on Patterson from Calle Real to Cathedral Oaks. Board of Directors Meeting
June 4, 2004
Board Members Present: Sam Alfano, Kathy Curtis, Al Turnbull, Doug Winter, Al Cavaletto, Phebe Mansur, Thom Myall, Jim Downing, Tami Mason, Laura Funkhauser and Ken Knight.
1. Sam called the meeting to order at 7:03 am at the Pacifica Suites.
2. Secretary’s Report - Doug
There were no questions or corrections and the minutes were approved as written by the Board.
3. Executive Board Report – Sam
Sam reviewed the May Executive Board minutes in detail.
Ken reviewed the outcome of the GVB banquet.
The banquet yielded a net profit of about $200 for GVB. The banquet philosophy has been and continues to be a “breakeven” program.
Sam mentioned that the Holiday Inn failed to provide a desert as promised and that they will credit GVB with $125 credit to use with next years banquet.
Regarding the silent auction, Lori suggested that we take 3 minutes at the close of the banquet to report how successful the auction was and the total amount realized from the auction. Janet recommended that the winning “high bidders” be announced so that not everyone need to go to the table to determine if they were a winner.
Thom feels that we should have coordinated the awards more closely to ensure that everyone who is receiving an award is called up at the appropriate time. He also feels that the award recipients need to be gathered aside for a photo before moving on to the next group.
Doug feels that each Board Member who has responsibility for a specific award presentation should sit with their recipient, individual or group, rather than to sit at the “Board of Directors” table. The recipients should be made to feel “special” rather than to be left on their own.
Al Turnbull commented that we need to “build up” the families to emphasize their contribution to the community. He also mentioned that the “Orchard” award should be renamed “Commercial Agriculture”. Al feels that we should do the banquet the same way next year. The rehearsal the night before was key to making the program flow.
Ken felt that spreading the presentation among the Board Members so that everyone had a part in the program was very successful.
Sam announced the departure of Ross Harris and Jim Downing from the Board. He also announced that Marc Bradley and Lori Roper would like to join the Board. The Board was polled and all were in favor of Marc and Lori joining the Board.
4. Treasury Report – Tami
The budget status was distributed to all Board members prior to this meeting.
A year end deficit of about $6,000 is projected at this time. This is due to revenue shortfalls. The deficit is offset by delayed expenditures which will move the shortfall to the next fiscal year.
Banquet and auction revenues exceeded projections by approximately $500. Two Grants, $2500 from The City of Goleta and $1000 from Venoco, received in June of this fiscal year will not be expended until fiscal 2005. Ken mentioned that expenditures are down this year because we are not spending at the planned level for our tree planting programs. This is due to unforeseen delays at the City and County level. This anomaly gives GVB a temporary positive cash flow that will have to be addressed in the following fiscal year. GVB income comes from three major areas which are: membership, grants, and corporate donations/Government contracts. GVB has done well in the areas of membership receipts and grants; however we are behind in corporate donations and Government contracts. Sam and Ken have been talking with The City concerning a young tree maintenance contract with GVB. The City has opted for crafting one contract to cover all aspects of City tree maintenance rather than writing a limited contract for GVB maintenance of young trees. Planting of new trees will fall outside of the primary contract and is an area where GVB may be able to perform. The long range impact of this is that GVB cannot expect the income stream in the future that has allowed us to pay for an Executive Director on staff to GVB unless other income sources are found such as additional grants. Within the next 6 months it maybe necessary to reorganize GVB. The Board approved the Treasurer’s Report as presented.
5. Membership – Ken
Ken reported that GVB currently has 353 donor members against a goal of 350 donor members. Well done Membership Committee!
6.Business Committee – Ken
Ken presented a new ad format for announcing the Business and Residential winners in the Valley Voice as well as other GVB programs such as the Heritage Tree Tour. Al Turnbull has generously offered a $1000 donation to finance the ad in the Valley Voice. The winner for June is Motion Engineering, located near the Hill Adobe. Someone is needed to chair the Business Committee.
7. Neighborhood Committee – Ken selected the home of Diane Powers at 263 North Kellogg Ave. as the June winner. Bonnie Freeman has agreed to chair the Neighborhood Committee. Future media copy will place more emphasis on the picture and less on text.
8. Education Committee – Al
The students of Isla Vista Elementary School planted a garden during the winter which is now blooming without the aide of irrigation. The students of Dos Pueblos High School planted a garden during the winter which is now blooming with the aide of irrigation. Bonnie Freeman is taking the lead on a beautification project in the El Encanto Heights area. GVB will send a letter to about 3000 residents in the area asking for volunteer help. The City has given GVB $2500 for materials. On June 22 there will be a meeting next to the Mobil station to promote community buy in. The project will get underway on September 16 – 18 the area will be cleared of debris and brush. The planting will take place on October 16th If this project is successful, then other projects within the City are possible.
9. Website Status – Thom.
Thom reported in the past month the website has had about 110 hits while the newsletter has had about 200 hits.
10. Urban Forestry Committee - Thom
Almost all sites for the Heritage Tree Tour have been confirmed. Eleven people have signed up for the tree tour. Laura suggested that the web address appear on the tree tour brochure. Lance Orosko is interested in doing a radio piece on the tree tour.
11. Executive Directors Report – Ken reported that three trees on Cathedral Oaks have been lost and 8 to 10 more are at risk due to hard pan soil and lack of water. These trees are Brisbane Box. They have been in the ground for 3 years and should be established by now. If they can not survive then we may need to replace them with a native species such as Coast Live Oak. On July 9th the Army of Youth will plant trees in the Turnpike – Hollister area. Thirty three homes out of 150 agreed to accept responsibility for maintenance of the trees which is a prerequisite to receiving a tree. GVB will rent a trencher to facilitate the placement of root shields at the 33 sites. Working with the City, GVB will try to develop residential support for planting in the Coronado – Santa Barbara Shores area. Concerning Wells Fargo signs, Doug mentioned that he has been directed by Ken to accrue no further expenditures for sign maintenance. If a sign is found to be damaged or missing, he is to collect and store the sign. Sam will contact Wells Fargo concerning funding.
12. Fundraising – Ken GVB has received $1,000 from Venoco for the purchase of a trailer. GVB has received a $500 grant for shoreline preservation. UCSB interns will do data collection to identify potential tree planting opportunities in Isla Vista. This data will then be used as the basis of a grant request in the next fiscal year. On Bristol Street, Lee Ann Applebee was able to get seven residents to pay $160 each to GVB to plant Brisbane Box trees adjacent to their property. Volunteers are needed to man the GVB popcorn machine at the annual Remada Inn party on June 24th from 5:30 to 7:30. On July 4th, at Girsh Park between 4:00 to 10:00 pm GVB will have a booth selling soft drinks, water and popcorn. Volunteers are needed to man 2 hour shifts.
