Chief Operations Officer, University of California San Diego, Department of Pediatrics

In support of the Administrative Vice Chair, the Chief Operations Officer (COO) will lead the functions of academic and staff administration, information technology, space planning and facilities management, new faculty relations, and administrative support within the Department of Pediatrics and ensure compliance with policy and serve the needs of management and employees. Using professional expertise and creativity, the COO will be committed to improve all dimensions of the various service units providing support to the Department. The COO will be expected to demonstrate improved coordination and planning of the various service units. The COO will solve problems, make decisions and provide advice that leads to cost effective and appropriate use of resources, which will reduce the potential risks arising from grievances, complaints and/or litigation as an outcome of labor/employee relation practices within the Department and School. The COO will address the financial impact on the department of the functions, initiatives and policy changes. The COO is also responsible for the development and implementation of departmental staff welfare programs, including staff education, career development, and staff retention plans. The COO will serve as the liaison between the Department, Schools, Academic Personnel and Campus Human Resources and will be responsible for assuring that there is sufficient coordinating and planning that defines Department, School, Campus HR, and Academic Personnel boundaries in a way that maximizes the resources that are directed toward meeting the staff, academic personnel administration, compensation, and sponsored projects processing needs of the Department.

The COO reports directly to the Administrative Vice Chair. Support is on a wide-variety of matters that are complex, sensitive in nature, and may pose a significant impact on the Department of Pediatrics, School of Medicine (SOM), and Campus as a whole. The unprecedented growth of the Department has created a highly dynamic and complex environment requiring a high level of progressive management skills, project management, staff development, short and long term planning, and multifarious problem solving skills.

Requirements:

  • Demonstrated advanced management, project management, staff development, short and long term planning, and multifarious problem solving skills.
  • Demonstrated knowledge and experience to effectively and efficiently manage the daily operations of a large, complex department comprised of specialized divisions responsible for the teaching, research, and clinical missions of the University.
  • Demonstrated experience working in a team-oriented environment; leading teams in the accomplishment of short and long term goals.
  • Demonstrated ability to lead and motivate teams, work groups, and committees and to act productively as part of a group, under pressure to meet established deadlines, effectively and accurately with frequent interruptions.
  • Demonstrated experience evaluating workloads and resources, planning and organizing day-to-day activities, and short and long-term projects.
  • Demonstrated experience collecting and summarizing data, evaluating and establishing options, and recommending and implementing solutions. Demonstrated experience developing reports, graphs and charts to explain financial issues to a broad audience.
  • Demonstrated effective and efficient oral and written communication skills.
  • Excellent interpersonal skills with a variety of personnel, including faculty, researchers, staff, students, department, campus and medical center administrators, vendors and financial sponsors. Tact, diplomacy, political acumen, and flexibility required.
  • Demonstrated expertise with computer applications and technologies, including, accounting, financial reporting, database management, and communication systems.
  • Demonstrated knowledge and experience in developing and successfully managing academic, research and clinical budgets including identifying variances and developing and implementing corrections to avoid or reverse deficit conditions.
  • Must be able to work evenings and weekends as needed.

Preferred:

  • Extensive experience and knowledge of University and campus policies for Academic Affairs, Faculty Compensation, Sponsored Projects and Human Resources.
